I give to SUNI
What information do you ask for?
If you give to SUNI through an offering at a church or a mission, you may choose not to give us any personal information at all. However, often donors will give us their name, address and contact details. If you give by standing order we will also have your bank details. If you choose to Gift Aid your donations, then you will give us your name and address and tax status. If you are giving online through Now Donate, then the information they send through to us will include your name, any notes you have written, the amount of your gift, your address, email address and gift aid claimable.
Why do you need this information?
We use this information to keep accurate accounts as a registered company and as a movement which takes good stewardship seriously. Information relating to your identity and tax status is needed for us to comply with the legal obligations relating to claiming gift aid. We will use your contact details to acknowledge your gift and to keep in touch with you to let you know how your giving is changing the lives of children and young people across Northern Ireland. If you give on a recurring basis (e.g. by standing order or through Now Donate) we will send you regular mailings which are relevant to you – for example, if you support E3 in a particular district, we’ll keep you up to date with news from that E3 worker as well as general SUNI mailings. We do this on the basis of legitimate interest, as regular donors generally expect to hear regular updates on how their faithful giving is changing lives. We have been careful to consider and balance any potential impact on you (both positive and negative), and your rights under data protection law. However, our legitimate interests do not automatically override your interests, and you always have the right to object to us processing your data in this way. Who do you share my information with?
If you give to SUNI through Now Donate, you will have shared your information with them and they will pass on your donation to us via Pay Pal. If you give by standing order, then your bank details will go to our bank (the Ulster Bank). In compliance with legal obligations, your name and address and tax status will form part of our quarterly Gift Aid claim from HMRC. We use MailChimp to send out regular emails: your name and email address are uploaded via their website each time we send out a mailing. How is it kept secure?
Our accounting information is securely held on our encrypted server using Sage. Physical files are kept in our Finance Office, which has no unsupervised public access. Your contact details for keeping in touch with you are held on the Filemaker database on our secure, encrypted server which is only accessed by relevant, passworded staff as necessary (for more information on Filemaker and Sage please see our Third parties section)
For how long do you retain my data?
In compliance with legal obligations, we must hold financial records going back at least 6 financial years. Old records and gift aid envelopes are shredded on an annual basis, and files are archived off the system. Your contact details will be held on our Filemaker database for as long as you want us to keep in touch with you about the work of SUNI.
